What the Automation Does
- Initiated when I manually forward an email to a custom address
- Make.com then
- Monitors this custom address
- Parses the main email elements like header, forwarding data, and the original email
- Sends the original message to OpenAI with an API call
- OpenAI then
- Summarizes the email
- Extracts the action items from the text
- Sends these back to Make.com
- Make.com then
- Creates a Notion record for the message
- Creates sub-tasks for that notion record, one for each task
- Looks up the project that the message is for by looking up the original sender
- Makes the message and sub-tasks relate back to the project, as well as the original email sender.

I made two key additions to the Make.com project.
- The first was to send the data to the Tasks table within Ultimate Brain, by Thomas Frank (no relation to Mathias).
- Second was to look up the sender of the forwarded email, and use that to determine the client and project that we’re dealing with. From that, to populate the note and all tasks as belonging to the proper project.
